    The IME Reports Manager (Internally known as: Clerical Quality Assurance Manager) is responsible to directly manage department staff and oversee the daily workflow is processed correctly, delivered within the required timeframe and handled with the highest level of accuracy and in compliance with all regulatory and company policies and procedures. This position provides direction, training, continuing education and responsible to develop and implement departmental procedures and enhancements to reach all departmental performance goals and ensures maximum efficiency is achieved.

    Responsibilities

    ESSENTIAL DUTIES AND RESPONSIBILITIES TO PERFORM THIS JOB SUCCESSFULLY INCLUDE, BUT ARE NOT LIMITED TO THE FOLLOWING:

     

    • Directly oversees department to ensure staff is managed effectively and consistent with all client and company policies, regulatory provisions, and HIPAA standards.
    • Ensures daily workflow is managed efficiently and when necessary, makes necessary adjustments to achieve daily, weekly and monthly goals.
    • Creates and provides support, training, tools, and techniques to assist staff in achieving department excellence and maintaining company standards.
    • Ensures documentation of all processes, communications, report status and due dates via system tracker or database are managed as required.
    • Manages and ensures daily follow up, clarification or concerns regarding cases are handled.
    • As needed, reviews completed reports and reviews for completeness and accuracy, including proper formatting, grammar and sentence structure.
    • Ensures departmental procedures are documented and carried out accordingly.
    • Review and analyze quality assurance data and creates and implements improvement strategies to ensure the highest quality product is achieved while promoting increased productivity.
    • Organizes and attends staff meetings as required and ensures communication pertaining to all lines of business working effectively together is achieved.
    • Handles and responds promptly to escalated issues with physicians or clients.
    • As needed, works with transcriptionists and/or physicians’ offices regarding report details, clarification, returns, Addendums, etc.
    • Provides backup to the department when needed to ensure work is completed within required timeframes and assists to achieve monthly, quarterly and annual goals.
    • Ensures all medical records and reports are properly documented and saved in the appropriate location.
    • Promptly addressed any procedural changes needed and reports any department issues or concerns requiring upper managements’ attention.
    • When necessary, communicates with IT Helpdesk and/or the Human Resources Department regarding any systems issues, new user requests, etc. and coordinates with staff any changes effecting productivity.
    • Ensures all practices are carried out in accordance with HIPPA compliance practices, state and federal safety standards and legal regulations.
    • Promotes and ensures effective and efficient utilization of department resources and supplies.
    • Perform other duties as assigned by upper management.

     

    Qualifications

    • Minimum 5 years clerical experience and 2 years managerial experience required.
    • Must possess a working knowledge of medical and/or legal aspects of medical records and health information principles and/or liability.
    • Must have a full understanding of HIPPA regulations and compliance.
    • Must possess complete knowledge of general computer, fax, copier, scanner, and telephone.
    • Must be knowledgeable of multiple software programs, including but not limited to Microsoft Word, Outlook, Excel, and the Internet.
    • Ability to follow instructions and respond to managements’ directions accurately.
    • Must demonstrate exceptional communication skills by conveying necessary information accurately, listening effectively and asking questions where clarification is needed.
    • Must be able to execute independent actions and take calculated risks when needed. Uses good judgment and includes the appropriate people in the decision-making process.
    • Must be able to work independently, prioritize work activities and use time efficiently.
    • Analyzes problems involving multiple interrelated causes.  Where necessary, gathers information and applies complex concepts or methods to generate an effective solution.
    • Demonstrates accuracy and thoroughness. Looks for ways to improve and promote quality and monitors own work to ensure quality is met.
    • Must be able to maintain confidentiality.
