  • Overview

    The Medical Office Assistant is responsible for administrative duties such as preparing medical charts, sorting medical records, handling incoming phone calls, calling confirmations for upcoming examinations, preparing examination rooms, recording height and weight, preparing examinees for examination and assisting physicians as needed.

    Must be bilingual: Spanish/English

     

    Responsibilities

    ESSENTIAL DUTIES AND RESPONSIBILITIES TO PERFORM THIS JOB SUCCESSFULLY INCLUDE, BUT ARE NOT LIMITED TO THE FOLLOWING:

    • Prepares medical chart for doctor by sorting medical records chronologically and removing duplicate records
    • Communicates with examiness/clients via incoming/outgoing phone calls or electronic communication
    • Routes examinee to exam room, vitals room and/or x-ray room as needed.
    • Review chart and verifies examinee information is available for examining physician.
    • Prepares examinee for examination by performing and recording height and weight.
    • When necessary, chaperones examinations with examinees or as requested by physician.
    • Responsible for set-up, maintenance, and cleanliness of exam rooms. Reports any issues or maintenance needs to management.
    • Maintains a smooth flow of examinations to ensure appointments are kept on schedule.
    • Secures patient information and maintains patient confidentiality by completing and safeguarding medical records.
    • Ensures all practices are carried out in accordance with state and federal safety and legal regulations.
    • Performs clerical duties such as typing, filing, emailing, and proofreading as required.
    • Promotes effective and efficient utilization of clinical resources and supplies.
    • Participate in various educational and or training activities as required.
    • Perform other duties as assigned.

    Qualifications

    EDUCATION AND/OR EXPERIENCE

    • High school diploma or equivalent required.
    • A minimum of 6 months on the job experience in a medical office or related field preferred.
    • Bilingual in Spanish required 

     

    QUALIFICATIONS 

    • Must be bilingual: Spanish-speaking
    • Must have adequate knowledge of medical terminology, anatomy and physiology, medications and laboratory values.
    • Must possess complete knowledge of general computer, fax, copier, scanner, and telephone
    • Must be knowledgeable of multiple software programs, including but not limited to Microsoft Word, Outlook, Excel, and the Internet.
    • Ability to follow instructions and respond to managements’ directions accurately
    • Demonstrates accuracy and thoroughness. Looks for ways to improve and promote quality and monitors own work to ensure quality is met.
    • Must demonstrate exceptional communication skills by conveying necessary information accurately, listening effectively and asking questions where clarification is needed.
    • Must be able to work independently with minimal supervision, prioritize work activities and use time efficiently.
    • Must be able to maintain confidentiality.
    • Must be able to demonstrate and promote a positive team -oriented environment.
    • Must be able to stay focused and concentrate under normal or heavy distractions.
    • Must be able to work well under pressure and or stressful conditions.
    • Must possess the ability to manage change, delays, or unexpected events appropriately.
    • Demonstrates reliability and abides by the company attendance policy.
    • Must maintain a professional and clean appearance at all times consistent with company standards.
