Overview

The Administrative Assistant is responsible for processing the invoices/reports and ensuring that they get to the client in a timely manner. This position works closely with the rest of the reports department.

Responsibilities

Essential Duties and Responsibilities to Perform this Job Successfully Include, But Are Not Limited To The Following:

  • Processes all the invoices and reports generated in the office.
  • Handles and responds promptly to incoming calls, emails or faxes from clients requesting report status and /or invoices.
  • General office duties: fax, scan, copy, answer phones, emails
  • Maintains a log on any files that require follow up.
  • Tracks documentation of all processing, status updates, due dates via system tracker or database
  • Updates all client portals with reports/invoices
  • Processes NYC Law reports through fax/email
  • When necessary notifies management of any report issues or concerns requiring management’s attention
  • Performs other office duties as assigned

Qualifications

Education And/Or Experience

  • High School Diploma or equivalent required.
  • Minimum one year clerical experience; or equivalent combination or education and experience.
  • Experience in medical office or insurance industry preferred.

 

 

Qualifications

  • Must possess complete knowledge of general computer, fax, copier, scanner, and telephone
  • Must be knowledgeable of multiple software programs, including but not limited to Microsoft Word, Outlook, Excel, and the Internet.
  • Must have a full understanding of HIPPA regulations and compliance.
  • Must be qualified typist with a minimum of 40 W.P.M.
  • Ability to follow instructions, constructive criticism, and respond to managements directions accurately.
  • Demonstrates accuracy and thoroughness. Looks for ways to improve and promote quality and monitors own work to ensure quality is met.
  • Must demonstrate exceptional communication skills by conveying necessary information accurately, listening effectively and asking questions where clarification is needed.
  • Must be able to work independently, prioritize work activities and use time efficiently.
  • Must be able to maintain confidentiality.
  • Must be able to demonstrate and promote a positive team-oriented environment.
  • Must be able to stay focused and concentrate under normal or heavy distractions.
  • Must be able to work well under pressure and or stressful conditions.
  • Must possess the ability to manage change, delays, or unexpected events appropriately.
  • Demonstrates reliability and abides but the company attendance police.
  • Must maintain a professional and clean appearance at all times consistent with company
